General Statement
The over-arching goal of TRIOS SSS is to advance student retention and graduation outcomes for 140 low income, first generation and/or students with disabilities by providing access, resources, solutions, and expertise to promote student success through career maturity, learning support, engagement and financial acumen.

The Division of Student Success is comprised of a number of offices, people, and programs working together to foster a holistic collegiate experience at Montana State University. We encompass every facet of the student experience. Each unit in the division supports students in their academic goals and personal journeys while they work to become graduates of Montana State University. Duties and Responsibilities
Provide strong customer service for both external and internal customers, acting as the initial point of contact for TRIO SSS student scholars, faculty, staff, visitors and callers responding to a variety of inquiries and directing questions to the appropriate staff member as necessary.
Provide administrative support to for completing required grant reports and assessment. Including developing an understanding of US Department of Education TRIO SSS grant expenditure and assessment guidelines.
Assist in hiring, train and oversee 2-3 student associates, ensuring accuracy with the daily business of the front office so it continues to operate in an efficient manner to support retention and graduation outcomes of 140 TRIO SSS student scholars.
Assists the Director with:
◦ Coordinating logistics for special events and projects including booking locations, managing catering orders, designing and sending invitations, managing reservations, and gathering/stuffing handout materials. Events include but are not limited to: Smart Start Summer Bridge Program, Provost Luncheon Series, Spring Leadership Retreat, TRIO SSS annual open house; meetings, large and small-scale public presentations.
◦ Creates and edits correspondence, reports, presentations for the Director. Assists with editing and collecting information for the annual grant review and the 5-year grant application.
◦ Manages the calendar of the Director and Retention Specialist.
◦ Oversee accounts receivable to the front office of credit card and cash payments for three offices.
◦ Schedules meetings, reserves conference rooms and oversees space requests and maintains calendars.
◦ Where appropriate schedules appointments for the 140 TRIO SSS student scholars to meet with academic advisors, career coaches, student success advisors, financial coaches and full-time staff (up to 20 individuals in total).
◦ Provides "front-line" trouble shooting for students to ensure they meet the requirements of the TRIO SSS Student Scholar MSU Academic Success & Career Plan.

Required Qualifications – Experience, Education, Knowledge & Skills
1 Two years of post-secondary education plus three years of full-time (or part-time equivalent) progressively responsible administrative and accounting work experience in a busy office setting providing high-level administrative support or an equivalent combination of relevant education and experience.
2 Demonstrated excellent verbal and written communication skills; communicating in an effective, professional, positive, accurate, and friendly manner while providing appropriate responses to questions or inquiries from students, parents, employers, faculty, staff, or co-workers, in person, by phone, or through business correspondence in a fast-paced office environment.
3 Demonstrated competence in organizing and prioritizing multiple work assignments, meeting deadlines, and exercising adaptability to changing priorities in a busy office setting with constant interruptions and high traffic volume.
4 Demonstrated ability to utilize discretion and sound decision making to come to independent decisions.
5 Demonstrated competence using personal computers and various software such as electronic or online calendars, word processing, spreadsheets, database, presentation, email and internet. Microsoft Office Suite preferred (please list equipment and software used).
6 Demonstrated competence successfully organizing a large-scale event or campaign.

Preferred Qualifications – Experience, Education, Knowledge & Skills
1 Experience using the SCT Banner system.
2 Knowledge of MSU procedures and policies or previous experience working in a higher education setting.
3 Knowledge of US Department of Education TRIO SSS grant guidelines
4 Experience supervising a staff of part-time employees.
