Brief Position Overview

The Associate Vice President of Auxiliary Services (AVP) provides executive oversight to University Student Housing, Culinary Services, Events Services, Auxiliary Information Technology and Auxiliary Administration and Finance. The Associate Vice President for Auxiliary Services is an important member of the Administration & Finance Division's leadership team responsible for significant university support operations as well as contributing heavily to the strategic direction of the division. Reporting to the Vice President for Administration & Finance, the AVP will lead with integrity, enthusiasm, and dedication to service excellence in a highly collaborative manner with constituencies at all levels of the institution. The AVP will demonstrate the ability to foster productive and collaborative relationships with administrators, faculty and staff, campus leadership groups, and other key stake holders, and ensure that services are provided in a professional, effective and efficient manner.

Duties and Responsibilities

Providing senior level oversight, mentorship and leadership for the following:
Supervise ~5 direct reports and provide leadership for a total staff of ~390 full time FTE and 900-1,300 student/temporary staff
Provide vision and direction for a diverse and complex group of revenue generating auxiliary departments of student housing, food services, and event services.
Oversee financial and budget management of a ~$76 million auxiliary operation; ensure systems are in place to monitor revenue and expense activity to meet goals; maximize revenue potential to meet intended goals of reinvestment back into the operations and facilities
Initiate and sustain positive capital investment planning, to meet indenture responsibilities for Montana State University
Responsible to fund and manage Repair and Renewal (R&R) budgets for Auxiliary operations, to provide safe and comfortable facilities for students, staff, and other campus users
Initiate and lead auxiliary capital construction projects from inception to completion
Manage a combined ~1.2 million square feet of auxiliary buildings
Develop and maintain appropriate internal controls, procedures, and safeguards to protect university assets.
Lead analysis, development, and implementation of tactical planning initiatives that align and flex with the university's goals.
Participate in campus safety and emergency planning as it pertains to auxiliary entities.
Provide oversight for procurement/contract management and compliance within auxiliary operations.
Evaluate impacts of system changes and ensure staff have the system tools necessary to accomplish their mission.
Model and lead customer service initiatives in auxiliary service units in support of the university's commitment to service excellence.
Develop & maintain protocols for utilizing system resources.
Oversee marketing plans specific to each operation in support of programmatic and financial goals.
Build sustainable working relationships with students, parents, vendors, surrounding communities, and other industry partners.
Establish and maintain productive relationships with a full range of internal and external constituents, such as the Commissioner of Higher Education, Legislators, affiliated campus administrators, state and local agencies, etc.
Ensure departmental staff have the tools necessary to perform duties that are key to the Auxiliary Services mission and key to maintaining compliance with state and federal laws and regulations.
Serve as an active and participatory member of university and statewide committees, as determined appropriate and necessary for the success of the department and university


Required Qualifications – Experience, Education, Knowledge & Skills

A Bachelor's degree in Business Administration or Management, Public Administration, or related field, and/or an equivalent combination of relevant education and substantial experience.
Demonstrated and progressively responsible experience in auxiliary services-related management and comprehensive knowledge of effectively leading a complex organization, including development and execution of capital project planning, personnel management, budget and financial planning and/or management of building maintenance operations.
Demonstrated success in planning, developing, and implementing complex strategic goals and program initiatives that require the effective management of resources over short and long timeframes.
Demonstrated experience in establishing and maintaining productive relationships with a full range of internal and external constituents, as well as working with and engaging diverse stakeholders such as students, faculty, staff, and community members.


Preferred Qualifications – Experience, Education, Knowledge & Skills

Management experience in a governmental, college or university environment (preferably in an auxiliary-related field).
Experience in large contract negotiations.
Experience managing in a unionized labor environment.
Experience preparing and presenting information and reports to a diverse range of audiences.
