Position Summary

Under the direction of the Library Director, the Administrative Assistant III manages all CSN Libraries office operations for the three CSN Campus Libraries and supports the department with special projects and events to promote the mission and objectives of CSN Libraries. Duties include but are not limited to:
  • Research, evaluate, and compare information from a variety of internal and external sources for projects and purchases; identify sources of information and communicate with vendors and others concerning technical aspects of the project/purchase; report findings to Director
  • Reviews, monitors, maintains and reports on departmental expenditures and reports on financial status of budget allocations; Prepares monthly budget reports for Director
  • Answer Director's phone, take messages, and work with the Director for follow up, as needed
  • Compiles a variety of reports, as needed
  • Creates, verifies and reviews forms and/or Workday processes for completeness and conformance with established regulations and procedures
  • Prepares contracts for adjunct librarian staff
  • Reviews and approves invoices, timesheets, application forms, purchase orders, requisitions, payments, acts as departmental timekeeper and other necessary processes in Workday
  • Maintains and files other forms related to personnel, applicants, volunteers, business operations, projects, employment and reports, as required by CSN or other regulations
  • Set up meetings, schedule rooms, send out agendas and take minutes for departmental meetings, including the Library Advisory Council
  • Participates in organizing, scheduling, and coordinating special events and activities; make appropriate arrangements for space, refreshments, and other amenities, represent the department to students, faculty, staff, and the public
  • Purchases office and other supplies for entire department using P-Card or purchase request, across three campuses, cooperatively working with staff to ensure supplies needs are met
  • Assists and supports the Director and other library staff with conducting day to day departmental operation in a timely and efficient manner
  • Maintains effective working relationships with library staff and customers through oral and written communication; Demonstrate superior team skills in all interactions with coworkers, in a consistent basis
  • Responds to inquiries from internal and external constituents in an accurate, discrete and diplomatic manner; Convey information and explain college and departmental policies, procedures and objectives to internal and external entities


Required Qualifications
  • Graduation from high school or equivalent education and three years of progressively responsible relevant work experience which includes experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR one year of experience as an Administrative Assistant II in Nevada State service; OR an equivalent combination of education and experience as described above.


Preferred Qualifications
  • FULL PERFORMANCE KNOWLEDGE, SKILLS AND ABILITIES (typically acquired on the job):
    • Working knowledge of: CSN and CSN Libraries mission, functions, programs, activities, and operating policies; eligibility requirements, applicable regulations and policies related to CSN and CSN Libraries; State regulations and requirements related to purchasing, budget preparation and maintenance, and personnel administration. Literacy in Microsoft Office, Workday, MyCSN, and 25Live.


Starting Salary

Grade 27, Step 1 - $36,790.56

Per Nevada Administrative Code (NAC 284.170), salaries for initial appointments for classified positions typically begin at Step 1.
