Primary Duties and Responsibilities:
Under general supervision, provide administrative support for activities associated with the office of the AVP Academic Affairs and the departments it oversees, which include Curriculum and Scheduling, Assessment and Accreditation, Learning Technologies, Honors, Learning Communities, First Year Experience, and Teaching and Learning Development.

  • Provide daily front desk and office functions, including routine email and telephone communication with current and new contacts; coordinate and schedule appointments; process paperwork and signature approvals; organize documents, reports, and files; and coordinate responses to internal and external requests for information and assistance.
  • Help create and format brief professional, formal presentations (e.g. Powerpoint, GoogleSlides) including text, data, charts, and visuals for various departments under AVP-AA for communication with a variety of internal and external stakeholders.
  • Schedules meetings and events, assists with food orders, agendas, and distribution of pertinent meeting information.
  • Help set up for meetings and assist with taking/distributing meeting minutes.
  • Orders supplies for various departments as needed.
  • Compile data from multiple processes or sources and the preparation of basic statistical analyses, tables, and graphs.
  • Complete basic Internet research and the compilation of research sources.
  • Assist in making travel arrangements including processing registrations and expenses, booking flights, attaining hotel and ground transportation reservations, and preparing itineraries and meeting materials/packets through the college's travel software.
  • Assist in processing paperwork after travel.
  • Process forms from administrators, faculty, and staff, including Human Resource forms, pre-travel, reimbursable expenses, leave reports, equipment transfer/disposal requests, telephone and maintenance work orders, purchase requisitions, etc.
  • Other duties as assigned.


  • Qualifications:

    • Education
      • High school diploma or equivalent required.
    • Experience
      • One year experience in an office environment required.
      • Strong attention to detail and organizational skills required.
      • Experience with maintaining a high degree of confidentiality required.
      • Good working knowledge of Microsoft Office Suite required.
      • Proficient in written and spoken English required.
      • Two or more years' experience in an educational environment preferred.


    Working Conditions:

  • Computer and printers, calculator, telephone, copy machine, and fax machine.
  • General office environment.
  • Ability to work in an open environment with high level of visibility; ability to interact well with senior management, faculty, students, and community members.
  • Operate appropriate office equipment.
  • This position requires a background check and drug screen.

    Part-Time Work Schedule: 10am - 3pm, Monday thru Friday

    Hiring Range:
    Classified 8 Hourly/17.01 - 17.01
