Job Description
Position SummaryThe Office of the Associate Vice President of Academic Affairs (AVPAA) is hiring an Administrative Assistant IV (AAIV). The AAIV works closely with the AVPAA to advance the work of the Office. The Office is responsible for advancing the work of Academic Affairs, including completing required reporting, assisting students in resolving academic and other issues, managing special projects, acting as the Academic liaison to various groups and stakeholders, and completing other student success directed work. The AVPAA also currently serves as the executive sponsor for six units: CSN Libraries, Centers for Academic Success, eLearning, Curriculum & Scheduling, Early College Programming, and the Prison Education Program. The AAIV will support the AVPAA throughout this work to ensure efficient and effective operations. This position requires flexibility in workload as priorities change; speedy responses to situations with accurate information, discretion, and diplomacy; and forethought in anticipating the needs of the AVPAA.This position is responsible for:
  • Assisting students with questions, resolving concerns, and completing academic processes in a student-focused manner
  • Assisting colleagues, including staff and faculty, with a spirit of positivity, professionalism, and collaboration, while maintaining discretion
  • Efficiently evaluating materials submitted for relevant AVPAA processes (e.g. Non-Traditional Education Credit requests, credit overload requests) and preparing for AVPAA review and signature
  • Screening the AVPAA calls as requested, relaying messages, preparing meeting agendas, preparing meeting minutes, and other correspondence
  • In consultation with the AVPAA, managing the AVPAA calendar and ensuring that the AVP has all materials readied for scheduled appointments
  • Keeping track of upcoming deadlines and reminding the AVPAA and associated departments of upcoming deadlines
  • Supporting the AVPAA with special projects and events
  • Assisting the AVPAA with the budget development by compiling information to support projected expenditures, and monitoring spending
  • Serving as a P-Card holder for the unit, completing purchases and reconciling statements as required
  • Developing and maintaining an organizational system for records and recalling them as needed
Required Qualifications:
  • Graduation from high school or equivalent education and four years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR one year of experience as an Administrative Assistant III in Nevada State service; OR an equivalent combination of education and experience as described above.
Starting Salary:Grade 29, Step 1 - $39,943.44Per Nevada Administrative Code (NAC 284.170), salaries for initial appointments for classified positions typically begin at Step 1.
