Associate Director of Student Affairs

Job Summary

The Student Affairs Team with the Spencer Fox Eccles School of Medicine (SFESOM) works closely with students to ensure they feel supported and successful during their time in medical school. The Student Affairs office includes professional and academic advising, financial aid & scholarships, registrar, academic success, global health, events, and wellness with the same mission statement: to facilitate the personal and professional development of medical students through accessibility, professionalism, collaboration, and community.
 
The Associate Director of Student Affairs is responsible for directing, planning, organizing and leading the day-to-day functions of the Core Student Affairs unit in the School of Medicine Dean's Office. Oversees operations and strategic planning of student service functions including (but not limited to) financial aid, registrar requirements, visiting student rotations, and student-related events. Supports the University of Utah's goals and mission and acts as a catalyst between departments, faculty, staff, students, and external entities to ensure continuity and quality of service.

Responsibilities
  • Supervise a team of staff in the day-to-day operations of the Student Affairs unit. Includes assigning tasks, quarterly planning meetings, setting professionalism standards, creating innovative processes, overseeing work, ensuring staff competency, approving timecards, conducting performance evaluations, recruitment/retention, and providing backup for the Student Affairs Core Team.
  • Forecast, develop, and manage the Student Affairs budget related to Administration, Visiting Students, and Events. Includes monitoring expenditures, resources, and future projections.
  • Mentor and counsel students regarding the availability of student services and resources.
  • Direct, create, implement and improve the longitudinal processes involved in student services, including student Leave of Absence requests, matriculation procedures, graduation requirements, remediation requirements, attendance requirements and eligibility/verification processes.
  • Compile and generate management reports, including scholarship funds, financial aid performance, student demographics, and Match results.
  • Direct the maintenance, creation, and integration of Student Affairs databases to ensure data accuracy.
  • Direct the planning of student events such as Commencement, Match Day, Transition to Medical School, and other events as needed.
  • Participate in Student Affairs, Health Science, and University-wide committees as assigned to establish customer service standards and administrative plans and policies.
  • Other duties as assigned.

Minimum Qualifications
Bachelor's degree in Business or Public Administration, a related area, or equivalency (one year of education can be substituted for two years of related work experience). Six years of progressively more responsible management experience; and demonstrated leadership, human relations and effective communication skills also required.

Master's degree in Business Administration or related area preferred.

Preferences
  • Master's Degree preferred.
  • Background knowledge of Student Affairs specialization in order to analyze, plan and draw conclusions for recommendations to superiors preferred.
  • Demonstrated leadership skills in planning and directing employees and processes in order to effectively monitor and develop subordinates preferred.
