Summary Position
This position will serve as the primary liaison between academic affairs, human resources, and academic departments with responsibilities for multiple aspects related to faculty, including but not limited to letters of agreement (LOA's), immigration work, and the adjunct faculty collective bargaining unit.

    Education Requirements
    A degree in a related field and a minimum of five years experience in a university or HR setting. Advanced training in labor and/or faculty relations will be considered a positive in preparing for success in this position.

    Excellent critical and innovative thinking and technical acumen to address moderately complex issues. The Academic Affairs Deputy Chief of Staff will be expected to demonstrate knowledge of organizational goals, priorities and values and the legal and human implications of decisions, including experience that provides thorough knowledge of organizational policies, union contracts, and procedures and practices that govern academic HR administration. To be successful in this position, knowledge of trends in academia, especially in areas of academic planning, human resource management and administration is critical.

    This position reports directly to the Academic Affairs Chief of Staff in the Provosts Office but works collaboratively with the Human Resources Office.

    This position must have a good understanding of the goals and mission of the division and a thorough understanding of programs and units within the division.

    This position works closely with the school/College offices to ensure routine personnel operations are maintained efficiently.

    This position requires strict confidentiality regarding recruitment, personnel and related matters with sensitivity to critical, private and proprietary information that will be implicated while exercising the duties and responsibilities of this position.

    General Purpose of Position
    The Academic Affairs Deputy Chief of Staff will serve as the primary liaison between academic affairs, human resources, and academic departments with responsibilities for multiple aspects related to faculty, including but not limited to letters of agreement (LOAs), immigration work, and the adjunct faculty collective bargaining unit.

    Essential Duties and Responsibilities
    Faculty Personnel Management
    • Review faculty (full-time and part-time) hires encompassing credential review when necessary, verification of funding, etc.
    • Assist with review of Letter of Agreement (LOA) for accuracy
    • Learn and management of the promotion and tenure process
    • Learn and assist with preparing and processing phased retirement agreements
    • Assist with salary spreadsheet review as needed pertaining to faculty LOAs



    Faculty/Human Resources Liaison for Visa and Sponsorship Support
    • Serves as the liaison between faculty members and department chairs with human resources for immigration work, including visas and sponsorship
    • Collaborates on maintaining up to date immigration policies and procedures
    • In collaboration with human resources, communicates university policies and procedures on immigration to faculty and hiring managers

    Collective Bargaining Agreement Coordination
    • Monitor timing for administration of the policies in the Collective Bargaining Agreement
    • Coordinate the day-to-day administration of bargaining agreement activities to ensure university compliance
    • Serve as the initial point of contact for academic affairs as it pertains to the Collective Bargaining Agreement. Provide information and guidance for next steps.
    • Develop and conduct training for departments relative to the Collective Bargaining Agreement
    • Maintain strong union and management relations

    Reporting
    • Prepare various institutional reports, collect data, develop summaries, and reports the status of the collective bargaining unit
    • Works with Institutional Research on the Academic Dashboard
    • Serve as provost office backup on office reports (student perceptions of teaching, GPA, office hours, etc)
