This position reports to the Associate Director of Administration and is responsible for providing administrative support to the Director's office leadership team.


Job-Specific Responsibilities

The coordinator role is responsible for: human resource coordination including the processing of I-9 and other hiring paperwork; assisting with new employee orientation and documents; assists Associate Director with special projects around career mobility and staff satisfaction. Runs reports and routinely collects data. Assists with time approval and payroll reports as needed. Responsible for administratively supporting Summer Research Opportunities within the department including appointing of summer interns, undergraduates and visiting students, managing and liaising with the minors in lab and federal college work study program for CCB. Coordinates departmental meetings for all standing committees, supports leadership team with follow-up actions and deliverables including preparing agendas and meeting minutes for departmentally led meetings. Assists Executive Director and Department Chair with special projects and department-wide initiatives. When on campus, manages day-to-day operations of CCB Director's Office and serves as a resource to all students/faculty/staff; serves as liaison between CCB and Harvard University Information Technology for tracking and replacing of CCB Computers through the Refresh Program; Updates and maintains several CCB email communication lists. Community and Wellness: Partners with Associate Director to create and cultivate a community and wellness program for CCB. Assists with faculty lecture event for staff. Responsible for administratively supporting the Associate Director's initiatives around Diversity, Inclusion, Equity and Belonging including taking notes at all meetings and moving forward deliverables and action items.

Basic Qualifications

Five years of experience in academic administration. Education beyond high school may count toward experience.


Additional Qualifications and Skills

Excellent organizational skills with particular ability to prioritize work in an environment with multiple and conflicting interests. Proven project and/or program management skills. Excellent interpersonal and communication skills . Ability to work independently with minimal supervision. Ability to handle complex and confidential information with discretion. Competency using a variety of computer software.
